Poolewe Beach House // Terms and Conditions

1. Poolewe Beach House

Poolewe Beach House is privately owned and your booking is a direct contract between you and the owner. Any difficulties or complaints while staying should be directed to the contact details provided upon booking.


2. Reservation Deposit

A non-refundable booking deposit of £250 is payable to secure your booking and is deducted at the point of final payment.


3. Damage Deposit

A damage deposit of £250 is a security bond made between the client (Principal Renter) and the property owner, which is taken on the understanding that the client will take care of and cause no damage to the property during their stay. The principal renter agrees that the damage deposit will be taken at the time of final payment. The owner undertakes to return the damage deposit (or balance there-of) within 14 days of vacation or satisfaction of any remedial works required to meet the renters obligations in respect of the condition of the property (whichever is the later).


4. Reservations and Payment

Telephone reservations MUST be confirmed by payment of the deposit, or payment of the total balance. Reservations are considered confirmed only on receipt of the reservation deposit and subject to the acceptance of the reservation. The balance of the cost of your accommodation must be paid at least 6 weeks before your arrival date. Bookings taken within 6 weeks of arrival with be subject to full payment to confirm the booking. When the balance of payment is received you will be forwarded confirmation of your booking.


5. Payment

After a booking has been received and accepted with deposit paid, the client will be required to pay the full cost of the booking 6 weeks prior to the date of commencement of the rental period.


6. Cancellations

If any booking is cancelled, the full rental or deposit is NOT refundable. All cancellations must be confirmed in writing and received before the due date. If timing allows and the property can be re-let the owner will return any payments, less any incentives required to secure the replacement booking. This may not be possibe if cancelled at short notice.


7. Cancellation and Curtailment Insurance

It is strongly recommended that insurance be taken out for all bookings. Having to cancel your holiday for whatever reason is hard enough but the loss of deposit or total rental can come as an additional setback. To minimise this unfortunate occurrence you should take out Holiday Insurance. When you reserve your booking you are entering into a legally binding contract.


8. Holiday Insurance

As well as cancellation and curtailment insurance, clients are strongly recommended to take out holiday insurance to cover loss or damage to personal effects. Under no circumstances can the owner of the house be held liable for any loss or damage to clients' property.


9. Period of Let

This will be on a weekly basis from Saturday to Saturday. Rentals begin at 4.00pm on the day of arrival and end at 10.00am on the day of departure.


10. Damage

If there are any crockery breakages during your stay please make a note and leave in the house for the housekeeper. You will NOT be required to pay for replacements, it simply allows prompt attention. If you are aware of any damage to the property caused during your stay please leave a note, again this facilitates our prompt attention and resolution using the damage deposit if necessary. The house will be cleaned before you arrive and it is expected that the private ownership of the house is respected and that it will be left in decent order for the next guests. Should the house be left in an unacceptable condition, any extra cleaning charges will be passed on to the client.


11. Restrictions on Rental

The owners reserve the right to refuse rentals or terminate a rental for improper use or unacceptable behaviour. Rentals will not be accepted in respect of any client under 21 years old. It is also a condition of booking that sub-letting to a Third Party by the Principal Renter is unacceptable. If this is found to be the case, the Third Party will have no legal right of occupancy and will be required to vacate. If the party size exceeds the agreed maximum occupancy of 9 persons, the let may be terminated early, with no refund.


12. Dissatisfaction

Should a client be dissatisfied for whatever reason with the accommodation they must notify the owner at the earliest opportunity. The Client must also notify the owner immediately of any damage or defect detected prior to their stay.


13. Pets

Considerate owners of well behaved family pets (2 cats or 2 dogs maximum) are welcome at Poolewe Beach House but must sleep in their own beds, not those at the house. Pets are restricted to the living room end of the house, i.e. not past the utility and are not allowed on the furniture. Dogs/ cats incur a small extra cleaning charge of £20 per pet. Dogs should not be left unattended in the house, please advise the owner of the breed and numbers at the time of booking. Any fouling must be cleaned up by the Dog's owner.


14. Bed Linen

Bed linen and towels for maximum occupancy are provided in the house. All pillows and duvet are hypo-allergenic.


15. Travel Cot and High Chair

One of each are provided free of charge but should be requested prior to arrival. Bed linen is NOT provided for the cot, however a mattress is available should you choose to use it.


16. Bunk Beds

The top of the bunk bed is used at the client's own risk and based upon their decision as to its suitability for the age of the user.


17. Liability and Responsibility

The owner cannot be held responsible or accept any liability for loss, damage or injury sustained whilst on the property. The log burner is not protected by a fire guard and therefore its use is deemed to be the sole responsibility of the client based on their own assessment of the vulnerabilities of their party.


18. Exclusion of The Rent Act

The contract effected on confirmation of reservation relates to a holiday let only and is therefore not an assured tenancy in terms of Housing (Scotland) Act 1988. This confers on the client the right to occupy the property for the period agreed for holiday purposes only, in terms of Schedule 4 of the aforementioned Act.


19. Adverse Travel Conditions

In the event of road closure due to adverse weather conditions or any form of 3rd party industrial action the owner of Poolewe Beach House cannot be held responsible for non- arrival of clients and no refunds will be given. BEAR Scotland are responsible for the road maintenance in Scotland and are used to operating in snow conditions. If necessary roads are normally only closed temporarily for a couple of hours until the snow is cleared.


20. Smoking

It is forbidden to smoke or vape in any part of the house. If smoking/vaping has been found in the house a charge of £100 will be levied.


21. Candles

Due to the high fire risk, candles are not allowed in the house, however battery operated ones are supplied.


22. Items Left in House

Should you realise that something has been left in the house please contact the owner at the earliest opportunity and it will be returned as quickly as possible. Excessive postage and packing will be the responsibility of the client.


23. Maintenance

You may receive a visit from a trades person for grass cutting and window cleaning during your stay.


24. Extraordinary Circumstances

Clients should be aware that the owner accepts no liability, contractual or otherwise, for events totally beyond their control, e.g. destruction of property due to flood, fire, earthquakes or acts of God; or that the property is inhabitable due to irreparable damage or on Health & Safety issues that could not reasonably have been foreseen. Any arising issues regarding refund of rentals in such cases, will be a matter contractually between the client and the owner.


25. Privacy Notice

Information about you and your booking is retained in the database, this consists of your name, address, contact details, reservation and payment dates. Some payment information is retained until the booking process, including bond refund is complete and it is then destroyed. Identifiable information will only be passed on about you if it is in connection with your booking and is absolutely necessary i.e. to rectify a maintenance issue or a Police matter.

The Natural Beauty of Poolewe

Poolewe is directly on the North Coast 500 (NC500) route and some incredible sights can be easily reached within an hours drive. The Northern Lights, in the right conditions, can be seen quite clearly from the house - truly magical. The area is fantastic for wildlife spotting. Red deer roam free. Golden eagles and white tailed sea eagles are at the top of any visitor's spotting list and, if you're lucky, can be seen from the house. Herons and diving birds visit the shore daily, directly outside the house along with a family of otters. Seals often cruise quietly along the shore at the mouth of the river while whale watching trips can be taken from Gairloch. And of course, the local highland cows!
